A school's administration is a dozen systems pretending to be one: admissions registers, attendance sheets, fee books, exam records, timetables, transport rosters and a flood of parent communication. SchoolDarpan — our school management CRM — puts them on one platform, with a customised dashboard for every role: administrator, teacher, student and parent. Today it runs 271 schools with more than 67,000 active user accounts, from single-campus schools on the Basic plan to unlimited-student deployments on Annual Saver — with Android and iOS apps carrying the whole system into parents' pockets.

The challenge

School software has the widest user spectrum of any ERP: office staff who live in it all day, teachers who touch it between classes, parents who open it once a week on a budget phone, and students who only care about homework and results. One interface cannot serve them all — which is precisely why schools end up with a dozen tools. And the domain is unforgiving on correctness: attendance feeds fee defaulter lists, marks feed report cards, and every mistake is visible to a parent by evening.

Our strategy

Role-first design: every user type gets its own dashboard showing only what their role needs — the administrator sees the whole school, the teacher sees their classes, the parent sees their child. Role-based access control is the spine of the system, not a permissions afterthought. Communication was made a first-class module rather than a notification layer: WhatsApp and email reach parents where they actually are, which is what turns a record system into a relationship system.

The solution

The platform covers the full school year: student and staff management, smart daily attendance, online fee collection with defaulter tracking, exam management with report cards, timetable and class routines, homework and study material uploads, and HRM for staff. Transport runs with GPS tracking so parents can see the bus. Each school can get its own custom website from the same system, and the Android and iOS apps give every role its dashboard on the move. Pricing scales from ₹3,199 a month for 2,000 students to unlimited students on the annual plan.
