Property, enquiry and document workflows in one place.
Property businesses run on three things that are usually in three different places: the listings, the pipeline of interested people, and a great deal of paperwork with legal weight. The cost of keeping them apart is paid in re-keying, missed follow-ups and documents that cannot be found when they are needed.
The data also has an awkward property: a listing is syndicated to portals that each want a different format, and each of those portals then sends leads back in a different shape.
We build agency and developer platforms covering listing management and portal syndication, enquiry capture and pipeline, viewing scheduling, document handling with audit trails, and the client portals buyers, tenants and landlords use.
Common challenges
What tends to go wrong
-

Portal integrations are numerous, inconsistent and change without notice. Each has its own field mapping, media requirements and update cadence, and a listing that fails validation on one portal usually fails silently.

Leads arrive through every possible channel — portal, website, phone, email, walk-in — and the ones that get lost are the ones that arrive outside the system. Response time is the single largest determinant of conversion, so a lead sitting in an inbox is a direct cost.

Documents carry legal significance. Who sent what, when, and which version was signed has to be reconstructable, and email threads are a poor substitute for that.

How we address it
What we build instead
-

We keep one canonical listing record and generate each portal's format from it, with validation failures surfaced as a task rather than swallowed. Media is transformed to each portal's requirements automatically rather than by hand.

Every lead channel writes into the same pipeline with a timestamp, including calls and forwarded email, so response time is measurable rather than anecdotal. Follow-up prompts are driven by the record rather than by memory.

Documents are versioned with an audit trail of who accessed and sent what. Where signatures are involved we integrate with an e-signature provider rather than building it, because the evidentiary requirements are theirs to carry.

Outcomes
What typically improves
-
Listings stop being maintained in several places, which removes both the effort and the inconsistencies between portals.

Enquiries get answered faster because they all arrive in one queue, and the paperwork associated with a transaction can be produced without searching anyone's mailbox.
